Recording Payments

Manual Payment Recording

When a tenant pays by check, cash, money order, or any method outside of the ACH system, you can manually record the payment in LodgeX PMS.

How to Record a Payment

  1. Navigate to the tenant's lease or the unit detail page.
  2. Click Record Payment.
  3. Enter the payment amount, date, and an optional description (e.g., "Check #1234" or "Cash payment for March rent").
  4. Click Submit to post the payment to the ledger.

What Happens After Recording

The payment appears as a credit on the tenant's ledger, reducing their outstanding balance. The tenant will also see the payment reflected in their portal. If the payment covers the full balance, the tenant's status will show as current.

Tips

  • Always include a description for manual payments so you have a paper trail.
  • Record payments promptly to keep balances accurate.
  • If you record a payment in error, you can add an adjusting charge or credit to correct it.
