Understanding the Ledger

The Ledger System

Every financial transaction in LodgeX PMS is recorded in a per-lease ledger. The ledger tracks all charges (debits) and payments or credits so you always have a complete financial history.

Entry Types

  • Charge — Money owed by the tenant. Monthly rent, late fees, and one-time charges all appear as charges.
  • Payment — Money received from the tenant, whether via ACH or recorded manually.
  • Credit — An adjustment that reduces the tenant's balance, such as a move-in discount or error correction.

How Balances Are Calculated

The outstanding balance for a lease is simply: Total Charges minus Total Payments minus Total Credits. This balance is displayed on the tenant portal, the unit detail page, and in financial reports.

Automatic Rent Charges

On the 1st of each month, LodgeX PMS automatically generates a rent charge for every active lease. The amount matches the lease's monthly rent. These charges appear in the ledger with a description indicating the billing period.

Viewing the Ledger

You can view the full ledger for any lease from the unit or tenant detail page. Each entry shows the date, type, description, and amount. The running balance is displayed so you can trace the history of the account.
